Effective date: October 12, 2026
This policy explains what personal information Cultivate collects when you visit our website or work with us online, what we do with it, who helps us handle it, and the choices you have. “Cultivate,” “we,” and “us” mean Cultivate, Inc.
It covers cultivatebrands.com and the pages we serve from our own systems at meet.cultivatebrands.com and ops.cultivatebrands.com: our contact form, consult booking, proposals, invoices, and invoice payment.
What you give us
When you write to us. Our contact form asks why you’re writing, your name, company, email, phone, how you heard about us, and your message.
When you book a consultation. We ask for your name, email, company, a note about your project, and the emails of anyone you invite. We also note your time zone so the times we show are right.
When you apply for a job or download our brand book. These forms ask for your name and email, and the careers form also takes a website, notes, and any file you attach.
When you’re a client. If we send you a proposal or an invoice, we keep a record of the link being opened. If you pay an invoice online, you enter your payment details with Stripe, our payment processor. We don’t see or store your full card number.
What we collect automatically
Where you came from. When you arrive on our site, a small cookie of our own (cltv_src) remembers the campaign or website that sent you and the page you landed on, for 90 days. If you write to us or book, we keep that with your inquiry so we know which marketing is working. If you’ve turned on Global Privacy Control in your browser, or declined advertising cookies, we don’t keep ad click identifiers with it.
How you use the site. We use Google Analytics to understand which pages people visit and how they move through the site, and advertising tags from Google, Meta, and LinkedIn to measure and improve our ads. These services set their own cookies and receive information about your visit, such as the pages you view, your browser, and your approximate location from your IP address.
Screening new inquiries. When you send a message or book a consultation, we use an IP screening service (ipapi.is) and basic details from your browser, such as its time zone, to check where the inquiry is coming from and to help us spot fraud and spam. We keep the result with your inquiry, not your IP address.
Opening proposals and invoices. When a proposal or invoice link is opened, we record when, the browser used, and a scrambled version of the IP address.
Security checks. Our contact form uses Cloudflare Turnstile, and our careers and brand book forms use Google reCAPTCHA, to tell people from bots. These services receive information about your browser and IP address.
How we use it
- To answer your message, schedule and hold your consultation, and follow up.
- To prepare for a call, including checking whether you already work with us.
- To spot fraud, spam, and sales pitches before we spend time on them.
- To send proposals and invoices, take payment, and keep business records.
- To understand which marketing brings people to us, and to measure and improve our ads.
- To review job applications.
We use an AI service, Anthropic’s Claude, to read the text of a message and sort it by topic and flag sales pitches. It receives your message and company name only, not your name, email, or other details.
Who we share it with
We don’t sell your personal information, and we don’t share it with anyone for their own marketing.
We use service providers who handle information for us:
- Google: analytics, advertising measurement, calendar invitations, Google Meet calls, and maps.
- Meta and LinkedIn: advertising measurement on our website.
- Zoom: video calls.
- Twilio SendGrid: our email confirmations, reminders, and notifications.
- Stripe: online invoice payments.
- Anthropic: sorting messages, as described above.
- ipapi.is: IP screening, as described above.
- Cloudflare: security checks and website delivery.
- DigitalOcean and Nexcess: hosting our systems and website.
When you book a consultation that came from a Google ad, we tell Google Ads that a booking happened so we can measure our ads. We send your email address in a scrambled (hashed) form for this. We don’t do it if you’ve turned on Global Privacy Control or declined advertising cookies, or if the booking is canceled.
We may also share information if the law requires it, to protect our rights or someone’s safety, or as part of a sale or merger of our business.
Cookies and your choices
You can block or delete cookies in your browser settings. The site still works without them.
- Our booking and contact pages honor Global Privacy Control.
- You can opt out of Google Analytics with Google’s browser add-on, and manage ad personalization at Google, Meta, and LinkedIn.
How long we keep it
We keep inquiry, booking, and client information while we’re in touch or working together, and afterward as long as we need it for our business records, taxes, and legal obligations. You can ask us to delete your information at any time, and we will unless we’re required to keep it (for example, records of invoices you’ve paid).
Your rights
You can ask us what personal information we have about you, ask us to correct it, or ask us to delete it. Email [email protected]. We’ll respond within 30 days and may need to confirm it’s you first. Depending on where you live, such as California, the European Union, or the United Kingdom, you may have additional rights, and we’ll honor them.
Security
We protect your information with encrypted connections, limited staff access, and reputable providers. No system is perfectly secure, so we can’t promise that information will never be exposed, but we work to keep it safe.
Children
Our website and services are for businesses and aren’t directed to children under 16. We don’t knowingly collect their information.
Changes
If we change this policy, we’ll post the new version here with a new effective date. If a change is significant, we’ll make that clear.
